Data Request Procedures

The Joint Breast Cancer Registry (JBCR) maintains a comprehensive database of breast cancer information, encompassing patient demographics, primary tumour characteristics (diagnosis date, histology, stage, size, and nodal involvement), hormonal status, treatment protocols, toxicity, survival outcomes, and associated treatment costs. To support robust comparative analysis and data pooling, the Registry utilizes standardized data items and clinical definitions.

Compliance and Guidelines

All research applicants must comply with the SingHealth Cluster Data Policy regarding the use of clinical, operational, and research data for Research and Quality Assurance/Service Improvement (QA/SI) purposes. Unless the proposed research falls under the JBCR umbrella (CIRB 2019/2419), a valid Institutional Review Board (IRB) approval or approval by the Singhealth Institutional Research Data Board (IRDB) must be provided.

Data Request Process

  1. Identify the Required Form(s) 
    • Form A: Required for aggregate data requests for regular or ad-hoc departmental reports (Complete Section A).
    • Form B: Required for patient-level data intended for preliminary studies or formal publications (Complete Sections A and B). 
       
  2. Approval and Submission Process 
    • Internal Endorsements: Submit the completed form(s) to your department administrator to obtain necessary endorsements from DSSO, DMO, and DRO representatives. 
    • Final Authorisation: Once the internal endorsements are secured, route the hard copy forms to Ms. Yeo Sook Kwan for final approval by the Chair, JBCR. 
    • Submission for Extraction: Following successful approval, work will begin on the data extraction process. 
    • Review and Provision Timelines: 
      • Please allow a standard lead time of 15 working days for the initial administrative review of your submission. 
      • The timeline for data provision typically ranges from two weeks to several months, depending on the technical complexity of the request.
